Privacy Policy

We run NOSTALGIA, a small party series. This page explains exactly what we collect, why, and what you can ask us to do about it. It’s short because we don’t do much.

What we collect

When you RSVP, the form asks for:

  • your name
  • your email address
  • your Instagram handle (optional)
  • whether you’re bringing anyone
  • who invited you (optional)
  • whether you’d like to hear about future events (a tick box, off by default)

We also record the date and time you submitted it, and — if you ticked the box — the exact wording you agreed to.

When you vote on a theme or request a song, we record your choice along with the name and email you gave when you RSVP’d.

When you visit the site, our host and any analytics we use may record standard technical information such as your approximate location, browser type and the pages you opened. We don’t use this to identify you.

We don’t ask for and don’t want your address, phone number, date of birth, or payment details. There’s nothing to pay for.

What’s public

First names appear on the song queue. If you request a track, your first name shows next to it on the page so people can see who asked for what. Nothing else is ever shown — not your surname, not your email, not your Instagram.

If you’d rather not appear there, leave the name field blank or ask us to remove it.

Theme votes are never shown individually. Only the totals get announced, at the party.

Why we collect it

  • Your name and email — to send you the address and details, and to know who’s coming
  • Guest count — so we buy enough food and don’t oversell a room
  • Who invited you — so we know how people are finding us
  • Instagram — so we recognise you, and can reach you if an email bounces
  • Votes and song requests — to pick the next theme and build the playlist

Emails you’ll get

When you RSVP we send you one confirmation with the address and details. That’s not marketing — it’s the thing you asked for.

If you ticked the box, we may occasionally email you about future F9WL events. Every one of those has an unsubscribe option, and you can also just reply and say stop. We’ll take you off immediately.

If you didn’t tick the box, you’ll only ever hear from us about the specific event you RSVP’d to.

We never sell, rent or share your details with anyone for marketing. There are no advertisers.

Who else can see it

We use a small number of services to run this, and your information passes through them:

  • Google — RSVPs and votes are stored in Google Sheets, and our emails are sent through Gmail
  • Hostinger — hosts this website and our email
  • Google Analytics, if enabled, for basic visitor statistics

Each has its own privacy policy. We don’t give your details to anyone else.

Cookies

We don’t set advertising or tracking cookies of our own. Our host and analytics may set cookies needed to make the site work or to count visits. You can block or delete cookies in your browser settings; the site will still work.

How long we keep it

  • RSVP records — kept while the series is running, so we know who’s been before
  • Marketing consent — kept until you unsubscribe, plus a record of the consent itself
  • Votes and song requests — kept as part of the archive for each edition

Ask us to delete your information and we’ll do it, usually within a few days.

Your rights

Under Canadian privacy law you can ask us to:

  • tell you what we hold about you
  • correct anything that’s wrong
  • delete your information
  • stop emailing you

Email hello@f9withlove.com and we’ll sort it. There’s no form and no charge.

If you’re unhappy with how we’ve handled something, you can contact the Office of the Privacy Commissioner of Canada.

Keeping it safe

Your information sits in a Google account protected by a password and two-step verification, accessible only to the people running F9WL. We keep the list as small as it needs to be.

No system is perfectly secure, but there’s very little here worth stealing — names, emails and a few song requests.

Under 18s

Our events are for adults. We don’t knowingly collect information from anyone under 18. If you think a child has given us their details, email us and we’ll remove them.

Changes

If we change how any of this works, we’ll update this page and change the date at the top.
